HR Administrator

Job Title: HR Administrator
Department: Human Resources
Reports to: Senior Director of Human Resources

Summary: 
The Human Resources Administrator supports the overall functions and duties of the HR department including benefits, wellness, internal events, and the mailroom. Administer policies and programs while promoting equity, fair treatment, and positive employee relations.

Essential Duties and Responsibilities

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Maintains confidentiality of employee’s personal information such as salaries, social security numbers, benefits, garnishments, and all employee files.
  2. Records employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, and termination date and reason.
  3. Updates employee files to document personnel actions and to provide information for payroll and other uses.
  4. Examines employee files to answer inquiries and provides information to authorized persons.
  5. Maintain Employee files (including personnel, medical, 401 k, and files of any legal related information received).
  6. Handle all garnishments. (Accept, give to payroll, notarize, copy and distribute to appropriate parties)
  7. Employee Referral Bonus. (Check all hired employees’ applications for referrals, log in file, request initial check and points and if both employees are still employed at 90 days request final distribution)
  8. Maintain resume files and coordinate the distribution of hard copy resumes to appropriate departments.
  9. Processes Verifications of Employment.
  10. Fill out various documents from workforce services and other state agencies regarding employees (Child Services, CHIP, etc.) and return in a timely fashion.
  11. Set-up all new employees with a BlueSteel® /employee number and have BlueSteel® admin to distribute points.
  12. Maintain 401k binders.
  13. Employee Data Change. (When employees change a name or an address change with 401k, EMIA, and Cafeteria)
  14. Assist employees with any questions.
  15. Distribute VAC/PTO report to managers.
  16. Handle all returned mail for employees or former employees.
  17. Create and maintain insurance waive or enroll spreadsheet.
  18. Send out term list weekly.
  19. Tracks and enters all wellness tracking sheets.
  20. Supports Mail Room in all assigned duties.

Education and/or Experience:

One to two years related experience and/or training; or equivalent combination of education and experience.

Mathematical Skills:
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:
To perform this job successfully, an individual should have knowledge of Project Management software; Human Resource systems; Internet software; Spreadsheet software and Word Processing software.
